Key Takeaways
- Asana has very high mention coverage, but a smaller share of answers actively recommend it.
- The main issue is not reach; it is turning neutral mentions into stronger endorsements and shortlist placement.
- Several AI claims about the free plan conflict, so primary-source fact checking comes first.
- Priority work centers on high-citation Asana pages, cited third-party sources, and common buyer comparison questions.
Answer Capsule
In November 2026, Asana appeared in 552 of 580 AI answers included in the AI Work Collaboration Platforms benchmark (95.17%). It received 226 recommendations (38.97%), with 129 Top 3 placements and 49 first-place recommendations. A mention means the company appeared in an answer; a recommendation means the answer affirmatively endorsed it.
Our plan compares the company with its competitors, checks conflicting AI claims against reliable sources, and identifies website pages, third-party sources and buyer questions to address. The historical results show how the figures changed across available months. Different monthly samples limit those comparisons, and conflicting AI claims require verification before corrections are proposed.

Asana appears in nearly every benchmark answer, so reach is not the constraint. The gap sits in endorsement: a large share of mentions carry neutral wording, and only a minority of answers recommend the product. That distinction matters because being named and being chosen are different outcomes for a buyer scanning an AI answer.
Placement is also narrower than presence. Asana is named far more often than it is placed near the top of a shortlist, and first-place appearances are a smaller subset again. The agency would treat reach, shortlist placement and endorsement as separate scorecard lines so the client can see which one to work on first.

From October 2026 to November 2026, Asana's mention count rose from 545 to 552, while its recommendation count fell from 427 to 226. The recommendation rate was 73.37% and 38.97% respectively.
The monthly record moves in different directions at once. Mentions edged up while recommendations fell sharply, and shortlist and first-place appearances fell with them. The recommendation rate is the measure that changed most, so it deserves the closest reading rather than a single headline.
The samples differ month to month, so the swing should be read as an observed change in the selected answers, not as evidence about why it happened. The agency would present each month as its own sample and avoid drawing a trend line until several comparable months agree.

Step 1. Measure
Questions This Section Answers
- What should the agency measure and verify first for Asana?
AI answers contained 4 conflicting claims about Asana: 0 critical, 3 high, 1 medium, 0 low. Of these, 3 were rated critical or high priority; the critical claims are included in that total. These ratings help prioritize fact-checking. They do not establish that a company or publisher made an error.
The fact-check list is short but weighted toward serious conflicts, with most disputed claims rated high priority. That gives the client a focused starting point instead of a broad audit. The ratings order the work; they do not show that Asana or any publisher got something wrong.
The agency would build a visibility comparison alongside a claim register, pairing each disputed topic with an owner and the evidence needed to settle it. That lets the client decide what to verify first without treating an AI statement as a finding.
Step 2. Make the website consistent
Questions This Section Answers
- Which recorded claim differences about Asana should be verified before proposed page edits?
Review topic | Severity | Recorded AI claim A | Recorded AI claim B |
|---|---|---|---|
free plan user cap | medium | works well for small teams (no cap stated) | up to 15 members |
free plan user limit | high | up to 2 users | up to 10 teammates |
free plan user limit | high | up to 10 users | up to 2 users |
free plan user limit | high | up to 2 users | up to 10 teammates |
Both columns quote AI answers, not verified company facts. Resolve the entity, date and source before deciding whether a correction is warranted; different dates can explain an apparent conflict.
The disputed topics cluster around the free plan and how many users it allows. The recorded answers disagree with each other, sometimes within the same topic, which is exactly the kind of conflict that needs a primary source before anyone edits a page.
The agency would confirm the current plan terms and their effective dates, then write conditional page briefs that stay on hold until those facts are approved. Where dates explain an apparent conflict, no correction is proposed. Ambiguous matches stay out of the queue.
Step 3. Align the external narrative
Questions This Section Answers
- Which cited third-party pages are relevant to fact review for Asana?
Cited page selected for review | Citation appearances in all captured answers | Answers mentioning the company | Conflicting claims linked to this page |
|---|---|---|---|
https://zapier.com/blog/free-project-management-software/ | 69 | 51 | 3 |
https://icagile.com/resources/honest-review-of-6-personal-project-management-tools-with-kanban-view | 48 | 40 | 2 |
https://pcmag.com/picks/the-best-project-management-software | 43 | 38 | 2 |
https://celoxis.com/article/free-project-management-software | 2 | 2 | 2 |
https://match-vs.com/en/blog/free-project-management-tools | 1 | 1 | 2 |
https://onplana.com/blog/free-project-management-tools-honest-comparison | 1 | 1 | 2 |
These pages were selected because they relate to the company in the captured answers. Their current contents still need checking before any correction request. A page linked to a conflicting claim is not necessarily its cause, and the same answer may contribute to more than one row.
Several widely cited review and comparison pages are linked to more than one disputed claim, which makes them sensible places to look first. Being cited, or being linked to a conflict, does not show that a page caused the wording in an answer.
The agency would check the current contents of the shortlisted pages, then prepare evidence-backed requests only where a genuine inaccuracy is confirmed. Requests would be framed as clarifications with sources attached, and responses logged separately from confirmed edits.
Step 4. Optimize priority company pages
Questions This Section Answers
- Which observed Asana website pages should receive review briefs?
Company website page | Citation appearances in all captured answers | Benchmark answers citing the page | Recommending answers citing the page |
|---|---|---|---|
https://asana.com/resources/best-project-management-software | 41 | 40 | 12 |
https://asana.com/resources/best-team-collaboration-software | 9 | 9 | 5 |
https://asana.com/features/project-management | 7 | 7 | 2 |
https://asana.com/ | 5 | 4 | 3 |
https://asana.com/resources/best-workflow-management-software | 5 | 5 | 3 |
https://asana.com/company | 4 | 4 | 2 |
https://help.asana.com/s/article/top-asana-integrations | 4 | 3 | 0 |
https://asana.com/resources/best-kanban-boards-software | 3 | 2 | 0 |
The company's website was cited 130 times across 47 distinct page addresses; the table shows 8 pages selected for review. Zeros in the answer columns mean no matching answers were recorded. A cited page is not automatically a page that accompanied a recommendation.
The company site is cited across many pages, but a small group carries most of the appearances. The resources pages on project management and team collaboration stand out, and they are the natural place to start rather than spreading effort across the whole site.
The agency would draft page briefs for the priority pages using approved facts and the questions buyers actually ask. Each brief would note what the page should answer plainly, and citation counts would be treated as a signal of where to look, not proof that a page shaped a recommendation.
Step 5. Publish around buyer questions
Questions This Section Answers
- Which observed buyer questions support content briefs for Asana?
Question observed in the research | Benchmark answers to this question | Company mentions | Company recommendations |
|---|---|---|---|
What are the top 10 project management tools? | 4 | 4 | 4 |

These are recorded answer observations, not search volume, verified demand, or proof of missing website content.
The recorded questions are broad tool-selection and comparison prompts, plus a replacement question naming a competitor. Asana is mentioned and recommended in most of these observed answers, so the opportunity is to sharpen how the product is described when buyers ask these questions.
The agency would check existing coverage before proposing anything new, then prepare briefs for buyer-question content that answers the comparison directly. These observations are answer records, not search demand, so the briefs would be validated against the client's own priorities.
Our 90-day action plan
Questions This Section Answers
- How should the agency sequence the proposed Asana work and judge completion?
Period | Deliverable | Completion criterion |
|---|---|---|
Days 1–30 | Baseline scorecard, scoped fact-review register and page/source shortlist | Each record has an owner, evidence requirement and review status |
Days 31–60 | Approved page briefs and justified publisher requests | Separate confirmed edits, no-change decisions, requests and responses |
Days 61–90 | Buyer-content briefs and a fresh scorecard | Record work completed separately from measured answer outcomes and comparability limits |
The first month establishes the baseline scorecard, a scoped fact-review register and the page and source shortlist, each with an owner and a review status. Nothing is corrected in this phase; the aim is a clean, auditable starting point.
The second month produces approved page briefs and justified publisher requests, with confirmed edits, no-change decisions and responses kept apart. The third month adds buyer-content briefs and a fresh scorecard. Completed work is reported separately from any movement in the answers, and no gain is promised.
Methodology
Questions This Section Answers
- How are Asana answer metrics and citation populations defined?
This report covers 2026-11. The exact dates when the original AI answers were collected have not been verified. The visibility rates use 580 answers that met the benchmark's inclusion rules. A company is recommended only when the answer both endorses it and uses positive wording. Top 3 and first-place counts are part of those recommendations, not extra recommendations.
An answer can mention or recommend several companies, so company counts cannot be added to find the number of distinct answers. The net sentiment score is positive minus negative mentions, divided by all company mentions; it describes answer wording, not customer satisfaction.
The wider citation analysis covers 800 captured answers and 5168 appearances of cited URLs. Citation appearances across all captured answers differ from the number of benchmark answers citing a page and the number that also recommend a company. The current contents of cited pages and disputed company claims still need independent verification.
Monthly sample coverage:
Reporting month | Answers included | AI services covered | Services |
|---|---|---|---|
Jul 2026 | 607 | 6 | ChatGPT, Copilot, Gemini, Google AI Mode, Google AI Overviews, Perplexity |
Aug 2026 | 601 | 6 | ChatGPT, Copilot, Gemini, Google AI Mode, Google AI Overviews, Perplexity |
Sep 2026 | 584 | 6 | ChatGPT, Copilot, Gemini, Google AI Mode, Google AI Overviews, Perplexity |
Oct 2026 | 582 | 6 | ChatGPT, Copilot, Gemini, Google AI Mode, Google AI Overviews, Perplexity |
Nov 2026 | 580 | 6 | ChatGPT, Copilot, Gemini, Google AI Mode, Google AI Overviews, Perplexity |
The answer samples differ between months. These comparisons show how the recorded results changed; they do not establish why they changed.
The answers were collected on dates that have not been verified, and the monthly samples differ, so comparisons describe recorded results rather than causes. Recommendation requires both an endorsement and positive wording, and shortlist and first-place counts sit inside recommendations rather than adding to them.
Answers can name several companies, so counts cannot be summed into distinct answers. Citation appearances are a separate measure from benchmark answers and from recommendations. Disputed claims and the current contents of cited pages still need independent verification.
Our first three priorities
First, settle the free-plan facts from primary sources and hold any page edits until they are approved. The disputed claims are concentrated enough that this can be done quickly, and it protects the client from publishing a correction based on an AI statement.
Second, prepare page briefs for the two resources pages that carry the most citations, using approved facts and plain answers to the comparison questions buyers ask. Third, review the shortlisted external pages and issue evidence-backed requests only where an inaccuracy is confirmed. A refreshed scorecard would track these as completed work, not as guaranteed visibility gains.
