Workable AI Visibility Market Strategy Report - Applicant Tracking Systems

Workable AI Market Strategy Report - Applicant Tracking Systems

Answer Capsule

Workable is the strongest challenger in the October 2026 Applicant Tracking Systems benchmark, holding 52.7% valid recommendation coverage, second only to Greenhouse at 58.8%. Workable's presence rate of 70.2% and top-three rate of 25.8% show a brand that is consistently surfaced and shortlisted, but its rank-one rate of 5.0% reveals that it rarely converts that visibility into first-position recommendations. The clearest win is the largest baseline-to-current coverage gain in the category, up 6.1 percentage points from July 2026. The clearest weakness is first-position conversion, where Greenhouse holds 27.9% against Workable's 5.0%. The clearest opportunity is closing the rank-one gap in the Brand Recommendation cluster, where buyer shortlists are actually formed.

Executive Summary

Workable holds the second-strongest recommendation position in the October 2026 Applicant Tracking Systems benchmark. The brand recorded 52.7% valid recommendation coverage, up 6.1 percentage points from 46.6% in July 2026, the largest baseline-to-current gain among the ten tracked brands. That places Workable 6.1 percentage points behind category leader Greenhouse at 58.8% and 12.1 percentage points ahead of third-place Lever at 40.6%.

The benchmark shows Workable is visible in 70.2% of qualified observations and receives 251 valid recommendations, including 123 top-three placements. The gap between presence and recommendation is narrower for Workable than for most of the field, which indicates the brand is not just mentioned but actively shortlisted. The analysis found 267 positive mentions, 67 neutral mentions, and zero negative mentions, producing a net sentiment score of 0.7994, the second-highest in the category behind Ashby at 0.8424.

The strongest cluster is the Brand Recommendation cluster, which is also the only cluster with sufficient coverage in the October 2026 measurement. All 476 qualified observations fell into this class. Workable's strongest platform signal is Google AI Mode, where the brand recorded 60.2% valid recommendation coverage and a 28.7% top-three rate, along with Google AI Overviews, where coverage reached 72.7%. The brand also performs well on Perplexity at 53.8% coverage.

The clearest gap is first-position conversion. Workable's rank-one rate of 5.0% is 22.9 percentage points below Greenhouse's 27.9%. The dataset marked 24 rank-one placements for Workable against 133 for Greenhouse. Workable is being recommended in more answers without yet converting that breadth into top-slot wins at scale. The brand's average recommended rank of 3.0389 is the second-best in the category, which suggests that when Workable appears, it appears near the top, but it rarely appears first.

The second gap is platform concentration. Workable's recommendation strength is heavily weighted toward Google AI Mode and AI Overviews. On Gemini, the brand recorded 29.2% coverage with zero rank-one placements. On ChatGPT, coverage was 41.7% with a 2.8% rank-one rate. The observed data suggests Workable's recommendation footprint is uneven across surfaces, and the brand's first-position weakness is most pronounced on Gemini and ChatGPT.

What Workable Is Winning

Questions This Section Answers

  • Which benchmark metrics show Workable's strongest gains over the July 2026 baseline?
  • Which surfaces account for most of Workable's recommendation strength?

Workable holds the largest baseline-to-current coverage gain in the category. The benchmark shows the brand rose 6.1 percentage points from 46.6% in July 2026 to 52.7% in October 2026, extending a two-month upward pattern that began in September. Presence rose 4.0 points from 66.2% to 70.2%, and the top-three rate rose 4.1 points from 21.7% to 25.8%.

Workable holds the second-highest valid recommendation coverage in the category at 52.7%, behind only Greenhouse. The brand also holds the second-highest top-three rate at 25.8% and the second-highest average recommended rank at 3.0389. The analysis found 251 valid recommendations in October 2026, the second-largest recommendation base in the benchmark.

Workable recorded zero negative mentions across 476 qualified observations. The brand's net sentiment score of 0.7994 is the second-highest in the category. The public evidence layer appears to support a consistently positive framing for Workable across the tracked surfaces.

Workable's strongest platform signal is Google AI Overviews, where the brand recorded 72.7% valid recommendation coverage and 93 valid recommendations. On Google AI Mode, the brand recorded 60.2% coverage and 65 valid recommendations. On Perplexity, coverage reached 53.8% with 21 valid recommendations. These three surfaces account for the majority of Workable's recommendation strength.

Where Workable Has the Clearest AI Visibility Gaps

Questions This Section Answers

  • Where is Workable losing first-position recommendations to Greenhouse?
  • Which platform or cluster gaps limit how Workable's recommendation strength can be measured?

The clearest gap is rank-one conversion. Workable's rank-one rate of 5.0% is 22.9 percentage points below Greenhouse's 27.9%. The dataset marked 24 rank-one placements for Workable against 133 for Greenhouse. The brand is present in 70.2% of qualified observations and receives valid recommendations in 52.7%, but it is the first recommendation in only 5.0%. This is a recommendation-stage visibility gap, not a presence gap.

The gap is most pronounced on Gemini and ChatGPT. On Gemini, Workable recorded 29.2% coverage and zero rank-one placements across 72 observations. On ChatGPT, the brand recorded 41.7% coverage and a 2.8% rank-one rate. Greenhouse, by contrast, recorded 38.9% coverage and an 18.1% rank-one rate on Gemini, and 51.4% coverage and a 26.4% rank-one rate on ChatGPT. The observed data suggests that when AI systems on these surfaces form a first-position recommendation, Greenhouse is more likely to be named first.

The second gap is platform concentration. Workable's recommendation strength is heavily weighted toward Google AI Mode and AI Overviews. On Copilot, the brand recorded 36.8% coverage but only an 8.8% rank-one rate. On Perplexity, coverage was 53.8% with a 7.7% rank-one rate. The brand's first-position weakness is consistent across surfaces, but the coverage gap is wider on Gemini and Copilot.

The third gap is the absence of qualified observations in the Pricing & Value and Multi-Brand Comparison clusters. The benchmark's October 2026 measurement contains zero qualified observations in either class. This means the public benchmark cannot yet show how AI systems handle price, value, or head-to-head comparison questions for Workable. The brand's recommendation strength is measured only in the Brand Recommendation class, where buyers ask directly for a recommended ATS solution.

Biggest Opportunity

Questions This Section Answers

  • Which prompts carry Workable's top-three placements but not its rank-one placements?
  • Where is the first-position gap concentrated across platforms?

The biggest opportunity is closing the rank-one gap in the Brand Recommendation cluster. Workable is already the second-most recommended brand in the category and holds the second-best average recommended rank. The brand is consistently shortlisted but rarely named first. The path from reference to recommendation is already established; the remaining gap is from recommendation to first-position recommendation.

This opportunity is specific to the prompts that produce top-three placements but not rank-one placements. The benchmark shows Workable earned 123 top-three placements but only 24 rank-one placements. That means 99 top-three placements did not convert to first position. The highest-priority diagnostic is which prompts carry Workable's top-three mentions but not its rank-one placements, and which brand holds the top slot in those prompts instead. Greenhouse is the most likely displacement brand, given its 27.9% rank-one rate and 39.1% top-three rate.

The opportunity is reinforced by the platform pattern. Workable's rank-one rate is lowest on Gemini (0.0%) and ChatGPT (2.8%), where Greenhouse's rank-one rate is highest (18.1% and 26.4% respectively). The observed data suggests that the first-position gap is concentrated on the surfaces where Greenhouse is strongest, which points to a competitive displacement pattern rather than a general visibility problem.

Competitive Landscape

Questions This Section Answers

  • How far apart are Workable and Greenhouse on coverage versus rank-one rate?
  • How efficiently does Workable convert top-three placements into first-position recommendations compared with the leading brands?

Greenhouse holds dominant recommendation power in the Applicant Tracking Systems category, with Workable as the strongest challenger. The two brands are 6.1 percentage points apart on valid recommendation coverage, but 22.9 percentage points apart on rank-one rate. Lever holds the third position on coverage but has a rank-one rate near zero.

Workable's position in the table shows a brand with strong top-three presence and the second-best average recommended rank, but a rank-one rate that is less than one-fifth of the leader's. The gap between Workable's top-three rate and rank-one rate is 20.8 percentage points, the widest such gap among the top three brands. Greenhouse's gap is 11.1 percentage points, and Lever's is 17.7 percentage points. The numbers show that Workable converts top-three placements into first-position recommendations less efficiently than the category leader.

Prompt Evidence

What CiteWorks Studio Would Do Next

Phase 1: AI Market Discovery Audit Map Workable's prompt-level recommendation outcomes across all six tracked surfaces, isolating the prompts where the brand earns top-three placements but not rank-one placements.

Phase 2: Recommendation Readiness Plan Prioritize the prompt clusters and surfaces where Workable's rank-one gap is widest, with Gemini and ChatGPT as the first targets given their zero and 2.8% rank-one rates.

Phase 3: Owned Answer Layer Buildout Strengthen the owned pages and answer assets that AI systems retrieve when forming first-position recommendations, focusing on the comparison and evaluation language that currently favors Greenhouse.

Phase 4: Citation / Authority Layer Development Develop the public evidence layer that supports Workable's first-position candidacy, including review-site presence, comparison pages, and third-party sources that AI systems cite when ranking ATS options.

Phase 5: Monthly AI Visibility and Recommendation Tracking Track Workable's coverage, top-three rate, rank-one rate, and sentiment across all six surfaces month over month, with rank-one conversion as the primary KPI.

Why This Matters

Workable is already visible and already recommended. The benchmark shows the brand is present in 70.2% of qualified observations and receives valid recommendations in 52.7%. But AI presence alone is not enough. The brand is the first recommendation in only 5.0% of observations, and the first-position recommendation is where buyer shortlists are most influenced. The gap between being recommended and being recommended first is the gap between being on the shortlist and being the default choice.

The next move is targeted correction of the prompt, page, and citation layers that produce first-position recommendations. The benchmark identifies where attention is warranted. The company-level analysis shows which prompts, surfaces, and evidence sources produce the rank-one gap. Closing that gap is a positioning problem, not a visibility problem, and it is the clearest path from Workable's current position as the strongest challenger to a position of recommendation leadership.

Sentiment Score

Questions This Section Answers

  • What does Workable's sentiment breakdown reveal beyond its raw mention count?
  • Why does a high positive sentiment score not close the rank-one gap?

Sentiment Score = (positive mentions x 1 + neutral mentions x 0 + negative mentions x -1) / total mentions

Workable's sentiment score is 0.7994, calculated from 267 positive mentions, 67 neutral mentions, and zero negative mentions across 334 total mentions. This is the second-highest sentiment score in the category, behind Ashby at 0.8424 and ahead of JazzHR at 0.7808.

This matters because unclassified mention counts are misleading. A brand with 334 mentions could appear strong on a raw count, but if most of those mentions were neutral references or cautionary comparisons, the brand would not be in a strong recommendation position. Workable's mentions are overwhelmingly positive, which means the brand is not just being listed but being framed favorably.

Share of voice is a diagnostic metric, not a business KPI. A positive recommendation, a neutral reference, a cautionary mention, and a competitor-displaced mention are not equal. Counting all mentions as wins is bad measurement. Workable's zero negative mentions and high positive share indicate that the brand's framing quality is strong, but framing quality alone does not close the rank-one gap. Classified sentiment is required before interpreting AI visibility, and Workable's classified sentiment shows a brand that is well-framed but under-converted at the first-position level.

Methodology

  1. This report is a benchmark-based analysis of Workable's AI recommendation visibility in the Applicant Tracking Systems category for October 2026. It is not a client implementation case study and does not imply that CiteWorks Studio caused any benchmark outcome.
  2. The reporting window is October 2026, with baseline comparisons to July 2026 and intermediate comparisons to August 2026 and September 2026.
  3. Six AI/search surfaces were tracked: ChatGPT, Copilot, Gemini, Perplexity, Google AI Overviews, and Google AI Mode. All six had at least one qualified observation in October 2026.
  4. The October 2026 measurement is based on 476 qualified observations, down from 526 in July 2026 and 513 in September 2026, and up from 346 in August 2026. Comparisons across the series should be read with the changing denominator in mind.
  5. The competitor universe contains ten tracked brands: Ashby, BambooHR, Bullhorn, Greenhouse, iCIMS, JazzHR, Lever, SmartRecruiters, Workable, and Workday Recruiting.
  6. The public benchmark contains one cluster with sufficient coverage: Best ATS & Top Recruiting Software Discovery, which falls into the consideration buyer stage. The Pricing & Value and Multi-Brand Comparison clusters had zero qualified observations in October 2026. Cluster identifiers in the public dataset map to these class labels; the analysis treats the label as the canonical reference.
  7. The benchmark separates the raw collection universe from the qualified analysis set. The October run began with 800 prompt-surface observations and 582 unique questions. Of those, 800 mentioned a tracked brand or competitor, 607 were relevant, and 193 were irrelevant. The public metrics use the 476 qualified observations that survived both qualification stages.
  8. A mention is counted when a tracked brand appears in an AI response to a qualified observation. Presence rate is the share of qualified observations where the brand is mentioned at all.
  9. A valid recommendation is counted when the dataset explicitly marks the brand as recommended. Negative, neutral, cautionary, comparison-anchor, and listed-only mentions are not counted as valid recommendations unless the dataset explicitly marks them as such.
  10. Top-three rate is the share of qualified observations where the brand appears in the top three recommended positions. Rank-one rate is the share of qualified observations where the brand is the first recommendation. Average recommended rank covers rank-eligible recommendations only.
  11. The benchmark records citations where exposed. Source presence is evidence about the information environment and is not automatically proof that the source caused the recommendation. The October 2026 benchmark recorded 5,910 citations across 1,769 unique domains, with the top 10 domains accounting for 28.2% of all citations.
  12. Limitations: The public benchmark does not measure market share, attributable sales, every possible AI response, organic-search ranking, social mention volume, private or sponsored channels, or causality from a metric movement alone. The benchmark identifies where attention is warranted, not what caused the movement. Unique prompt count is available for October 2026 at 582, but prompt-level detail is not exposed in the public version.
