Key Takeaways
- Rackspace Email’s valid recommendation coverage fell from 6.1% in July 2026 to 1.0% in September 2026, with only 3 valid recommendations recorded.
- The main issue is reduced mention presence, not weaker placement: raw mentions dropped from 8.3% to 2.6% while average recommended rank remained competitive at 2.33.
- Perplexity showed the strongest recommendation signal, while ChatGPT, Copilot, Gemini, and AI Overviews produced little or no valid recommendation coverage.
- Sentiment remained positive to neutral with no negative mentions, suggesting the priority is rebuilding visibility in hosted exchange prompts rather than fixing brand perception.
Answer Capsule
Rackspace Email is visible but under-recommended in the Hosted Exchange category. The LLM Authority Index benchmark for September 2026 shows the brand at 1.0% valid recommendation coverage, down 5.1 points from 6.1% in July 2026, the largest decline across the tracked set. Raw mention presence fell to 2.6% from 8.3% over the same period, and the brand recorded only 3 valid recommendations in September 2026. The clearest opportunity sits in rebuilding presence at the mention stage, because the loss came almost entirely from fewer AI responses naming the brand rather than from weaker placement when it does appear.

Executive Summary
Rackspace Email holds a small and rapidly shrinking position in AI-generated recommendations for Hosted Exchange. The September 2026 benchmark shows the brand at 1.0% valid recommendation coverage, down from 6.1% in July 2026, a decline of 5.1 points that the benchmark flagged as beyond normal month-to-month variation. This was the second consecutive monthly decline, following a drop to 4.0% in August 2026.
The decline is concentrated at the presence stage rather than the recommendation stage. Raw mention presence fell from 8.3% in July 2026 to 2.6% in September 2026, a drop of 5.7 points that also exceeded normal variation. Top-three rate held at 1.0% in both July and September 2026, meaning the brand did not lose placement quality within the responses that still mentioned it. It lost the responses themselves.
The absolute counts are small and the benchmark treats them accordingly. Rackspace Email recorded 3 valid recommendations in September 2026, down from 19 in July 2026, and 8 total mentions, down from 26. The benchmark's own interpretation notes flag that brands with fewer than 20 valid recommendations can show large percentage shifts from small absolute changes. That caveat applies here, but the consistent two-month direction makes the pattern a meaningful category observation rather than noise.
Sentiment among the mentions that remain is positive. The brand recorded 4 positive mentions, 4 neutral mentions, and 0 negative mentions in September 2026, producing a net sentiment score of 0.5. There is no negative framing problem. The problem is that AI systems are naming Rackspace Email less often at all.
The strongest platform signal is Perplexity, where the brand recorded a 6.1% valid recommendation coverage rate and a net sentiment score of 1.0, though on only 2 valid recommendations. The clearest platform gap is Copilot, where Rackspace Email recorded 3 neutral mentions, 0 valid recommendations, and 0 top-three placements. Gemini, ChatGPT, and AI Overviews also produced no valid recommendations for the brand in September 2026.
The category context matters. Google Workspace leads at 37.8% valid recommendation coverage, IONOS holds second at 16.7%, and the gap between first and second narrowed to 21.1 points. OVHcloud was the only brand to rise across the full series. Rackspace Email's decline occurred while the category leader was also softening, which suggests the brand's losses were not simply absorbed by a single rising competitor.
What Rackspace Email Is Winning
Questions This Section Answers
- Where does Rackspace Email still hold an advantage in AI-generated hosted exchange responses?
- How does Rackspace Email's average recommended rank compare to other tracked providers when it does appear?
The evidence-backed wins are narrow but real. Rackspace Email recorded zero negative mentions in September 2026, which means AI systems are not framing the brand unfavorably when they do surface it. That is a cleaner position than GoDaddy, which recorded 11 negative mentions, or IONOS, which recorded 5.
The brand also held its top-three rate steady at 1.0% between July and September 2026. When Rackspace Email does appear in a recommendation context, it is not being pushed to the bottom of the list. Its average recommended rank of 2.33 in September 2026 is competitive with Intermedia at 2.60 and Zoho Inventory at 2.46, and better than GoDaddy at 3.28 and OVHcloud at 3.47.
Perplexity produced the strongest single-platform result, with a 6.1% valid recommendation coverage rate and a net sentiment score of 1.0 across 2 valid recommendations. The sample is too small to treat as a durable signal, but it is the only platform where the brand converted mentions into recommendations at a measurable rate.
These wins are modest. The brand has no dominant cluster, no platform where it holds meaningful recommendation share, and no prompt type where it consistently appears in the top three. The honest read is that Rackspace Email retains a small positive-framing pocket in a category where it is being named less and less.
Where Rackspace Email Has the Clearest AI Visibility Gaps
Questions This Section Answers
- Is Rackspace Email losing mentions or losing placement quality in AI responses?
- Which platforms produced zero valid recommendations for Rackspace Email?
- Which buyer-intent stage does Rackspace Email's current recommendation signal cover?
The clearest gap is presence, not placement. Rackspace Email's raw mention presence fell 5.7 points between July and September 2026, from 8.3% to 2.6%. That decline is larger than the 5.1-point drop in valid recommendation coverage, which confirms the benchmark's own read: the brand is losing the mention stage first, and recommendation credit is following it down.
The second gap is platform coverage. Rackspace Email recorded zero valid recommendations on ChatGPT, Copilot, Gemini, and AI Overviews in September 2026. On Copilot specifically, the brand appeared in 3 neutral mentions with no recommendation credit and no top-three placement. That is a presence-without-conversion pattern, and it is the kind of gap that compounds because AI systems that never recommend a brand in a category tend to keep not recommending it.
The third gap is competitive displacement. Google Workspace holds 28.5% top-three rate and 27.6% rank-one rate in the same category, and IONOS holds 11.2% top-three and 5.1% rank-one. Rackspace Email's 1.0% top-three rate and 0.0% rank-one rate place it in the bottom tier alongside Microsoft SharePoint, which fell to zero valid recommendations entirely. The brand is not competing for the first recommendation slot at all.
The fourth gap is cluster concentration. All 312 qualified observations in September 2026 fell into the Brand Recommendation cluster, identified in the benchmark as Best Hosted Exchange Services. The benchmark recorded zero qualified observations in Hosted Exchange Pricing and Plans or Hosted Exchange Provider Comparisons, which means the public data cannot show whether Rackspace Email would perform differently in pricing or head-to-head comparison prompts. That is a measurement limitation, not a brand strength, and it means the brand's current 1.0% coverage reflects only one type of buyer question.
Biggest Opportunity
Questions This Section Answers
- What should Rackspace Email prioritize first: rebuilding mention presence or improving placement?
- What did Rackspace Email lose in valid recommendations and mentions between July and September 2026?
The single clearest opportunity is to rebuild mention presence in the Best Hosted Exchange Services cluster before attempting to improve placement. Rackspace Email's placement quality is intact when it appears, with a 2.33 average recommended rank and zero negative framing. The brand does not need to fix how it is described. It needs to be described more often.
That means the priority is the prompt and source layer that determines whether AI systems name Rackspace Email at all in response to direct hosted exchange recommendation questions. The benchmark shows the brand lost 18 valid recommendations and 18 mentions between July and September 2026. Recovering even a portion of that presence would move the brand back toward its July position without requiring any change in how AI systems frame it once it appears.
Competitive Landscape
Questions This Section Answers
- Where does Rackspace Email rank among tracked competitors in recommendations for hosted exchange?
- How can Rackspace Email have the second-best average recommended rank but a top-three rate of less than 1%?
Google Workspace holds dominant recommendation power in Hosted Exchange, with IONOS as the strongest challenger at roughly half the leader's coverage. Rackspace Email sits in the bottom tier of the tracked set, below Intermedia and above only Microsoft SharePoint, Amazon WorkMail, and AppRiver, the last two of which recorded no presence at all.
Brand | Top-3 rate | Rank-1 rate | Avg recommended rank | Sentiment |
|---|---|---|---|---|
28.53% | 27.56% | 1 | 0.6713 | |
11.22% | 5.13% | 2.57 | 0.439 | |
Zoho Inventory | 4.17% | 0.64% | 2.46 | 0.7083 |
GoDaddy | 3.21% | 0.96% | 3.28 | 0.0866 |
OVHcloud | 3.21% | 1.28% | 3.47 | 0.7647 |
1.28% | 0.00% | 2.6 | 0.6667 | |
Rackspace Email | 0.96% | 0.00% | 2.33 | 0.5 |
Microsoft SharePoint | 0.00% | 0.00% | N/A | 0.0 |
Amazon WorkMail | 0.00% | 0.00% | N/A | 0.0 |
AppRiver | 0.00% | 0.00% | N/A | 0.0 |
Average recommended rank covers rank-eligible recommendations only.
Rackspace Email's 0.96% top-three rate places it seventh of ten tracked brands, and its 0.00% rank-one rate means it never held the first recommendation slot in September 2026. Its 2.33 average recommended rank is the second-best in the table, which shows the brand is placed well when it appears but appears far too rarely to matter at the shortlist stage.
Prompt Evidence
Questions This Section Answers
- Which prompts produced Rackspace Email recommendations, and where did they fail to convert?
- What happened when Rackspace Email appeared in Copilot responses for 'email domain'?
Perplexity / Best Hosted Exchange Services Prompt: "business email" Result: Rackspace Email appeared in a recommendation context with positive framing, contributing to the brand's 6.1% Perplexity coverage rate.
Copilot / Best Hosted Exchange Services Prompt: "email domain" Result: Rackspace Email appeared as a neutral mention with no recommendation credit and no top-three placement.
Google AI Mode / Best Hosted Exchange Services Prompt: "free business email" Result: Rackspace Email recorded 1 valid recommendation and 1 top-three placement, one of only 3 valid recommendations the brand earned across all platforms in September 2026.
Google AI Overviews / Best Hosted Exchange Services Prompt: "business email account" Result: Rackspace Email appeared once with positive framing but received no valid recommendation credit and no top-three placement.
What CiteWorks Studio Would Do Next
Phase 1: AI Market Discovery Audit Map the exact prompts where Rackspace Email lost mentions between July and September 2026, and identify which competitor received the recommendation credit in each case.
Phase 2: Recommendation Readiness Plan Prioritize the Best Hosted Exchange Services prompts where the brand retains positive framing but no longer appears, and define the minimum presence threshold needed to re-enter the shortlist conversation.
Phase 3: Owned Answer Layer Buildout Build owned pages that directly answer the hosted exchange recommendation questions where the brand has gone missing, with clear positioning on the attributes AI systems already associate with Rackspace Email.
Phase 4: Citation and Authority Layer Development Strengthen the public evidence layer around the brand's hosted exchange offering so AI systems have retrievable, attributable sources to synthesize from when forming recommendations.
Phase 5: Monthly AI Visibility and Recommendation Tracking Track mention presence, valid recommendation coverage, top-three rate, and rank-one rate monthly to confirm whether presence recovery translates into shortlist placement.
Why This Matters
AI systems are now where a meaningful share of hosted exchange buyers form their shortlist. A brand that is named less often in those responses is not just losing visibility, it is losing the opportunity to be considered at all. Rackspace Email's placement quality is intact, which means the brand has not been judged and rejected. It has simply stopped being part of the conversation.
The next move is targeted correction of the prompt, page, and citation layers that determine whether AI systems name the brand in the first place. Presence recovery is the prerequisite. Without it, the brand's strong average recommended rank and clean sentiment profile have nothing to attach to.

Sentiment Score
Questions This Section Answers
- Why is a positive sentiment score not enough to indicate a strong recommendation position?
- How does Rackspace Email's sentiment compare when mentions are classified by type?
Sentiment Score = (positive mentions x 1 + neutral mentions x 0 + negative mentions x -1) / total mentions
For Rackspace Email in September 2026, that is (4 x 1 + 4 x 0 + 0 x -1) / 8, which equals 0.5.
This matters because unclassified mention counts are misleading. A brand with 8 mentions and a sentiment score of 0.5 is in a different position than a brand with 8 mentions and a sentiment score of -0.5, even though the raw mention count is identical. Share of voice is a diagnostic metric, not a business KPI. A positive recommendation, a neutral reference, a cautionary mention, and a competitor-displaced mention are not equal, and counting all mentions as wins is bad measurement. Classified sentiment is required before interpreting AI visibility, because it separates brands that are being recommended from brands that are merely being listed.
Rackspace Email's 0.5 score reflects a small sample with no negative framing. The brand is not being criticized. It is being mentioned neutrally or positively in a shrinking number of responses.

Methodology
- This report is benchmark-based analysis of the LLM Authority Index AI Market Discovery Index for Hosted Exchange, covering the September 2026 reporting month with July 2026 as the baseline comparison.
- The reporting window runs from July 2026 through September 2026, with September 2026 as the current measurement.
- Six AI and search surface families were tracked: ChatGPT, Copilot, Gemini, Perplexity, AI Overviews, and AI Mode. All six were present in each month of the series.
- Each monthly run began with 800 prompt-surface observations. September 2026 produced 646 unique questions, 435 relevant observations, 365 irrelevant observations, and 312 qualified benchmark observations after both qualification stages.
- The competitor universe contains 10 tracked brands: Google Workspace, IONOS, GoDaddy, OVHcloud, Zoho Inventory, Intermedia, Rackspace Email, Microsoft SharePoint, Amazon WorkMail, and AppRiver.
- Three public high-intent clusters were defined: Best Hosted Exchange Services at the consideration stage, Hosted Exchange Provider Comparisons at the evaluation stage, and Hosted Exchange Pricing and Plans at the decision stage. All 312 qualified observations in September 2026 fell into the Best Hosted Exchange Services cluster.
- Stage 0 extraction retained the query, AI or search surface, answer, brand outcome, recommendation placement, sentiment, and, where exposed, citations or attributable evidence sources for each observation.
- A mention is counted when a tracked brand appears in an AI response in any capacity, including neutral reference, comparison anchor, or cautionary framing.
- A valid recommendation is counted only when the dataset explicitly marks the brand as appearing in a legitimate recommendation context. Neutral, cautionary, comparison-anchor, and listed-only mentions are not counted as valid recommendations.
- Brand-level percentages use the 312 qualified observations as the public denominator, not the raw 800-observation collection.
- The August 2026 intermediate month produced 347 qualified observations, which affects absolute counts and share comparisons across the series. September 2026 returned to 312.
- Small-count movements should be read with caution. Brands with fewer than 20 valid recommendations, including Rackspace Email, can show large percentage shifts from small absolute changes. Rackspace Email's 5.1-point decline represents 19 valid recommendations falling to 3.
- Metric movements in this series identify changes worth investigating. They do not by themselves establish the cause of those changes.
