Key Takeaways

  • Asana led the category with 63.6% valid recommendation coverage in September 2026, but that figure fell 9.1 points from July and now sits just 0.3 points ahead of ClickUp.
  • Visibility is not the issue: Asana appeared in 97.5% of qualified AI answers, yet only 63.6% converted into valid recommendations, showing a widening presence-to-recommendation gap.
  • Asana posted the highest top-three recommendation rate at 44.4%, but monday.com outperformed it on rank-one recommendations, 117 to 89, indicating weaker first-position conversion.
  • Platform performance was uneven, with Google AI Mode as Asana's strongest channel and Gemini its weakest, where recommendation coverage dropped to 37.3% and rank-one rate to 5.3%.

Answer Capsule

Asana held the top position in the September 2026 LLM Authority Index Project Management Software benchmark with 63.6% valid recommendation coverage, but that lead is narrowing under sustained pressure. The company remains almost universally visible in AI-generated answers at a 97.5% raw mention presence rate, yet its recommendation coverage fell 9.1 points from 72.7% in July 2026, and the gap to ClickUp has compressed to 0.3 points. Asana's clearest strength is its top-three placement rate of 44.4%, the highest in the category. Its clearest weakness is a two-month decline in shortlist inclusion despite stable presence. Its clearest opportunity is converting near-universal visibility into stronger rank-one recommendation frequency, where monday.com now outperforms it.

Executive Summary

Asana enters September 2026 as the category leader in AI recommendation coverage, but the position is eroding. Valid recommendation coverage fell to 63.6%, down from 72.7% in July 2026, a 9.1-point decline across two consecutive months. The benchmark shows Asana declined in each of the two months since the July baseline, moving from 72.7% to 67.7% in August 2026 and then to 63.6% in September 2026. The gap to ClickUp at 63.3% has narrowed to 0.3 points.

The company's raw mention presence rate held at 97.5% of qualified observations, essentially unchanged from 98.1% in July 2026. Asana is nearly universally visible in AI-generated answers. The decline is not a visibility problem. It is a recommendation conversion problem. Asana is being mentioned in nearly every qualified answer but is being shortlisted in a smaller share of them.

Asana's strongest signal is its top-three recommendation rate of 44.4%, the highest among all tracked brands. Its rank-one rate held at 14.6%, essentially flat from 14.9% in July 2026. The decline is concentrated in shortlist inclusion rather than top placement, meaning Asana is losing ground in the middle of the recommendation set rather than at the top.

The strongest platform signal for Asana is Google AI Mode, where the brand recorded 74.1% valid recommendation coverage and a 56.9% top-three rate. The weakest platform signal is Gemini, where Asana's valid recommendation coverage was 37.3% and its rank-one rate was 5.3%. Copilot also showed a lower rank-one rate at 15.3% despite a 62.7% coverage rate.

Sentiment remains strongly positive at 0.86, with 514 positive mentions, 80 neutral mentions, and 1 negative mention across 595 present observations. The framing quality of Asana's AI mentions is not a concern. The concern is that positive framing is not converting into shortlist inclusion at the rate it did in July 2026.

The clearest competitive gap is with monday.com, which recorded 117 rank-one recommendations in September 2026 versus Asana's 89, despite lower overall coverage. monday.com is winning more first-place recommendations even as its total shortlist inclusion falls. Asana holds the broader shortlist advantage but is losing the top-of-list battle.

What Asana Is Winning

Asana holds the highest top-three recommendation rate in the category at 44.4%, ahead of monday.com at 40.5% and ClickUp at 39.8%. This means that when Asana is recommended, it appears in a top-three position more often than any other tracked brand.

Asana's raw mention presence rate of 97.5% is the highest in the category, marginally ahead of monday.com at 95.2% and ClickUp at 94.9%. The brand is nearly universally present in AI-generated answers about project management software.

On Google AI Mode, Asana recorded 74.1% valid recommendation coverage, the highest single-platform coverage rate among the top three brands on that platform. Its top-three rate on Google AI Mode was 56.9%, also the highest among the top three.

Asana's net sentiment score of 0.86 reflects strongly positive framing across its AI mentions. With 514 positive mentions against 1 negative mention, the brand's framing quality is not a weakness.

Where Asana Has the Clearest AI Visibility Gaps

Asana's primary gap is recommendation conversion, not presence. The brand appears in 97.5% of qualified observations but is recommended in only 63.6%. That 33.9-point gap between presence and recommendation coverage is the widest among the top three brands and represents the clearest structural weakness in Asana's AI visibility profile.

The decline is concentrated in shortlist inclusion. Asana's top-three rate fell 2.4 points from 46.8% in July 2026 to 44.4% in September 2026, while its rank-one rate held essentially flat at 14.6%. The brand is losing middle-of-shortlist positions, not top positions. This pattern suggests that competitors are entering the recommendation set alongside Asana rather than displacing it from the top.

monday.com is the clearest competitive threat at the recommendation stage. While Asana holds a higher top-three rate, monday.com recorded 117 rank-one recommendations in September 2026 versus Asana's 89. monday.com's rank-one rate rose 2.9 points to 19.2% over the same period that Asana's coverage fell 9.1 points. The benchmark shows monday.com winning more first-place recommendations even as its overall shortlist inclusion declined.

On Gemini, Asana's valid recommendation coverage was 37.3%, well below its category-leading 63.6% overall rate. The brand's rank-one rate on Gemini was 5.3%, the lowest among its tracked platforms. Gemini represents a platform-specific gap where Asana's recommendation power is materially weaker than its category average.

ClickUp's presence rate rose 4.8 points to 94.9% against the category trend, and its valid recommendation coverage at 63.3% is now within 0.3 points of Asana. ClickUp's rank-one rate fell 7.0 points to 7.5%, meaning ClickUp is gaining shortlist inclusion but losing first-place placement. The competitive dynamic between Asana and ClickUp is one of near-parity on coverage with divergent placement profiles.

Biggest Opportunity

Questions This Section Answers

  • What is Asana's clearest opportunity to close the gap with monday.com?
  • Why doesn't Asana need to focus on presence or sentiment to improve its AI recommendations?

Asana's clearest opportunity is closing the rank-one gap with monday.com. Asana holds the highest top-three rate in the category but trails monday.com on rank-one recommendations by 28 placements (89 versus 117). The path from reference to recommendation is already established for Asana. The next step is converting top-three placements into first-position recommendations, particularly on platforms where Asana's rank-one rate lags, such as Gemini at 5.3% and Copilot at 15.3%.

This opportunity is specific and measurable. Asana does not need to increase its presence rate, which is already near-universal at 97.5%. It does not need to improve sentiment, which is already strongly positive at 0.86. It needs to strengthen the prompt, page, and citation layers that determine which brand AI systems name first when asked for a project management software recommendation.

Asana holds the highest top-three rate in the category at 44.43%, but monday.com holds the highest rank-one rate at 19.18%. The two brands are effectively tied on average recommended rank at 2. Asana's position at the top of the table reflects its category-leading shortlist inclusion, but the rank-one gap with monday.com shows that first-position recommendations are not following the same pattern.

Prompt Evidence

What CiteWorks Studio Would Do Next

Questions This Section Answers

  • What specific steps does CiteWorks Studio recommend to help Asana improve its AI recommendation coverage and first-position placement?

Phase 1: AI Market Discovery Audit Map the specific prompt types where Asana is present but not shortlisted, and identify which competitors capture the recommendation when Asana is excluded.

Phase 2: Recommendation Readiness Plan Prioritize the platforms and prompt clusters where Asana's rank-one rate lags, particularly Gemini and Copilot, and build a targeted plan to strengthen first-position recommendation frequency.

Phase 3: Owned Answer Layer Buildout Strengthen the owned content and structured data that AI systems retrieve when forming recommendations, focusing on the comparison and evaluation prompts where Asana's shortlist inclusion has declined.

Phase 4: Citation / Authority Layer Development Develop the public evidence layer, including third-party reviews, comparison pages, and source citations, that supports Asana's recommendation in AI-generated answers.

Phase 5: Monthly AI Visibility and Recommendation Tracking Track Asana's presence, recommendation coverage, top-three rate, rank-one rate, and sentiment monthly to measure whether the decline in shortlist inclusion stabilizes and whether rank-one frequency improves.

Why This Matters

Questions This Section Answers

  • Why is Asana's near-universal AI visibility not translating into recommendation coverage?
  • What is the core challenge Asana faces in AI-led discovery for project management software?

Asana is nearly universally visible in AI-generated answers about project management software. That visibility is not translating into recommendation coverage at the rate it did in July 2026. The brand is being mentioned in 97.5% of qualified observations but recommended in only 63.6%. The gap between presence and recommendation is widening, and competitors are closing the distance.

AI presence alone is not enough. The brands that win in AI-led discovery are the ones that convert visibility into shortlist inclusion and first-position recommendations. Asana's next move is targeted correction of the prompt, page, and citation layers that determine which brand AI systems name first when a buyer asks for a project management software recommendation.

Sentiment Score

Sentiment Score = (positive mentions × 1 + neutral mentions × 0 + negative mentions × -1) / total mentions

Asana's sentiment score for September 2026 is 0.8622, calculated from 514 positive mentions, 80 neutral mentions, and 1 negative mention across 595 total mentions.

This score matters because unclassified mention counts are misleading. A brand can appear in thousands of AI answers without being recommended, and a positive recommendation is not the same as a neutral reference or a cautionary mention. Share of voice is a diagnostic metric, not a business KPI. Counting all mentions as wins is bad measurement. Classified sentiment is required before interpreting AI visibility.

Asana's sentiment score of 0.86 indicates strongly positive framing across its AI mentions. The brand is not being described negatively or cautionarily. The challenge is not framing quality. It is recommendation conversion.

Methodology

  1. This report is a benchmark-based analysis of Asana's AI recommendation visibility in the Project Management Software category for September 2026. It is not a client result and does not imply that CiteWorks Studio caused any benchmark outcome.
  2. The reporting window is September 2026, with trend comparisons to July 2026 and August 2026 where monthly data is available.
  3. Six AI platform families were tracked: ChatGPT, Copilot, Gemini, Perplexity, Google AI Overviews, and Google AI Mode. Keyword variants roll up into their parent family.
  4. The September 2026 benchmark analyzed 610 qualified observations from a raw collection of 800 prompt-surface observations. The qualification process removed 9 irrelevant observations and 181 reserved observations.
  5. The competitor universe included 10 tracked brands: Asana, Atlassian, Basecamp, ClickUp, Microsoft SharePoint, monday.com, Notion, Smartsheet, Trello, and Wrike. Jira Service Management was dropped from tracking in September 2026.
  6. All qualified observations in September 2026 fell into the Brand Recommendation buyer-intent cluster. No qualified observations landed in the Pricing & Value or Multi-Brand Comparison clusters.
  7. The benchmark uses a stage-based extraction process. Stage 0 captures raw prompt-surface observations. Subsequent stages qualify, classify, and aggregate the data into the public metrics.
  8. A mention is counted when a brand appears in an AI-generated answer to a qualified prompt, regardless of whether the brand is recommended.
  9. A valid recommendation is counted when a brand appears in a recommendation context that can be evaluated, as distinct from a neutral reference, a comparison anchor, or a listed-only mention.
  10. Top-three rate measures the share of qualified observations where a brand is recommended in one of the top three positions. Rank-one rate measures the share where a brand is recommended first.
  11. Average recommended rank covers rank-eligible recommendations only. Brands with no rank-eligible recommendations are marked N/A.
  12. Limitations: The public benchmark measures brand recommendation discovery and does not yet contain qualified observations in the Pricing & Value or Multi-Brand Comparison classes. Source presence is evidence about the information environment and is not automatically proof that the source caused the recommendation. Small-count movements for brands with low denominators should be read with proportionally more caution.

Understanding AI search visibility.

AI search experiences create answers by pulling information from many places online and summarizing it into a single response.

What Is AI Citation Intelligence?
AI citation intelligence is the process of measuring where AI platforms source their information and how frequently a brand is mentioned or referenced in AI-generated responses. Because LLMs synthesize across multiple sources, the sites and brands that appear repeatedly tend to influence how a topic or company is framed. This practice focuses on identifying which sources shape AI outputs and tracking brand visibility across different AI systems.
What Is Citation Architecture?
Citation architecture describes the set of sources that consistently inform how AI systems talk about a brand, product, or topic. LLMs draw from websites, articles, forums, and public discussion, and the sources they rely on most often become the backbone of their answers. Building strong citation architecture means ensuring that accurate, credible, high authority sources are the ones most likely to shape the way AI tools summarize and recommend a brand.
What Is Generative Engine Optimization?
Generative engine optimization (GEO) is the practice of improving the chances that AI systems use and cite your brand or content when generating answers. While traditional SEO is centered on ranking pages in search results, GEO focuses on how LLMs retrieve, interpret, and combine information when responding to a question. The objective is to strengthen the content and sources AI systems rely on, so your brand is treated as a trusted reference in AI responses.
What Is AI Share of Voice?
AI share of voice tracks how often a brand appears in AI-generated answers compared with competitors in the same category. It reflects visibility across AI platforms such as ChatGPT, Gemini, Claude, and Perplexity. Monitoring AI share of voice helps organizations see whether AI systems consistently include and recommend their brand for key queries or whether competitor brands are showing up more often.
